Anti-Harassment Policy
AMIA is proud to be an organization of diversity and inclusion, and we want all members to have confidence in our collective commitment to efforts and actions that demonstrate that commitment regardless of age, disability, ethnicity, gender, gender identification, sexual orientation, race, or religion.
AMIA is committed to providing an atmosphere that is welcoming and that supports our goals for members to learn and grow professionally. Consistent with this commitment, it is AMIA policy that all participants at AMIA meetings will enjoy a welcoming environment that is professional, collegial, and harassment free. All participants at AMIA meetings are expected to behave in a courteous, professional and civilized manner and to refrain from demeaning, discriminating or harassing behavior or speech. This policy applies to all participants including attendees, speakers, sponsors, exhibitors, guests, staff and contractors.
Unacceptable Behavior
Unacceptable behaviors include:
- intimidating, harassing, abusive, discriminatory, derogatory or demeaning speech or actions by any participant at an AMIA meeting and in one-on-one communications carried out in the context of the meeting.
- harmful or prejudicial verbal or written statements or visual images (including presentation slides) related to age, disability, ethnicity, gender, gender identification, sexual orientation, race, religion, or other personal characteristics.
- unwelcome and uninvited attention, contact, or physical harm;
- real or implied threat of professional or personal damage.
Individuals who experience, witness, or become aware of unacceptable behavior at an AMIA meeting should report the incident to an AMIA staff member. Any person who has suffered physical harm or believes their physical safety is threatened should notify venue security or call 911.
AMIA reserves the right to remove an individual from a meeting without warning or refund, to prohibit an individual from attendance at future meetings, and to take such other actions as deemed appropriate by the AMIA Board of Directors.
Public Health and Safety

AMIA requires all attendees and staff will comply with all applicable health and safety laws and directives, as well as any guidelines of AMIA and the hotel, including with respect to face coverings and physical distancing. AMIA’s international guests must follow applicable laws when traveling to and entering the United States.
Policies apply to all future AMIA conferences:

- A person who is diagnosed as having, or is currently experiencing symptoms of, an illness or disease that can be contagious, should not attend.
- AMIA attendees are required to attest willingness to comply with policies prior to confirming registration and as instructed at the conference. Attendees in violation of AMIA policies will be asked to leave the event with no refund issued.
- The policies are guided by AMIA’s commitment to science, public health, safety, evidenced-based medical practice, and the law. The policies are subject to modification at any time based on new information.
- AMIA conferencing policies are established, governed, and regularly reviewed by a panel of AMIA members, staff, and general counsel through authority from the Board of Directors.
Registration
Waiver of Liability
Attendance at conferences including the Informatics Summit, Clinical Informatics Conference, Clinical Informatics Board Review Course, and Annual Symposium may involve a risk of exposure to a communicable disease. By registering for the AMIA conferences, registrants knowingly assume that risk. On behalf of yourself as well as your family and heirs, you hereby release from liability, and waive all claims against AMIA, its officers, directors, and employees for any harm, injury, and damage of any nature suffered by you should you become sick for any reason.
Children of Registrants at AMIA Conferences
Children of registrants may attend AMIA conferences. Children must be under the supervision of a parent or guardian in all areas of the conference space. Parents or guardians may bring children to educational sessions and activities within the conference. If a room is at or near capacity, AMIA asks the parent or guardian to assure there is space and/or seating for registered attendees. Oversized strollers are not permitted in the exhibit hall. Parents must directly monitor children at conference events where alcohol is served; otherwise, anyone under the age of 21 is not permitted. The parent or guardian will be asked to sign a liability waiver and complete a registration form for children to receive a conference guest badge. AMIA may request a nominal fee for access to food functions or special events.
Photography and Videography Policy
All filming, taping, recording, live streaming in any medium including via the use of tripod-based equipment or mobile devices, of AMIA events is prohibited, except as allowed with the written consent of AMIA. Only the official AMIA Photographer/Videographer and properly credentialed press are allowed to take videos of exhibits, exhibitor spaces, or any conference programming. Those found taking videos will be asked to provide proof of approved press credentials.
